How to view private items of a Shared Mailbox

This article provides information on how to view private items within a Shared Mailbox.

Is there anything I need to do first?

To perform the instructions in this article, you must be a member of the Shared Mailbox. If you require access to the Shared mailbox then please ask an existing member to submit this access form.

Instructions for enabling private items to be visible on a Shared mailbox

  1. Open a web browser and sign in to as yourself.
  2. Click the Outlook app on the left hand side list of apps.
  3. Click your picture in the top right corner and choose "open another mailbox"
  4. Type in the email address of the Shared Mailbox and click it once populated.
  5. The Shared Mailbox will open in a new tab. 
  6. Once loaded, click the Calendar icon
  7. Under the heading "My Calendars" click the 3 dots next to "Calendar" and choose "Sharing and permissions"
  8. Enter the name of the person you wish to add and click search. Select the correct person once populated.
  9. Click "can view all details" and change to "delegate"
  10. Tick the option "Let Delegate view private events"
  11. Click "Share" to finish the process.

Please note, it may take up to an hour for the change to take effect.
