Teams Meeting Recordings: Storage Location, User Access and Permissions


Important terminology note: The earlier version of Stream will now be known as Microsoft Stream (Classic) https://web.microsoftstream.com/ and the new version will be referred to as Microsoft Stream (on SharePoint) https://stream.office.com to clarify the differences moving forward.

Microsoft are changing the default storage location of new Microsoft Teams meeting recordings. From Monday 27 June 2022, all users will notice new Teams meeting recordings will be stored in Stream (on SharePoint) rather than Stream (Classic). This is part of a larger update by Microsoft to bring Stream, SharePoint, OneDrive, and Teams together. Stream (Classic) will still be accessible, all your content will still be available and you will have the ability to edit and manually upload content if required. This article only applies to content in Stream (on SharePoint). By default this includes all Teams meeting recordings made following Monday 27th June 2022. 

Where is my meeting recording stored?

Where the Teams meeting took place (whether it was a Teams Channel Meeting or a Standard Meeting) dictates where the Teams meeting recording is stored and who has what permissions over the recording. 

Teams Channel Meeting Recordings

Channel meeting recordings (meetings set up within a Teams Channel) are stored in the files tab of the associated Team Channel in a folder called Recordings. This recordings folder can be accessed through Teams but lives in the SharePoint site behind the Team. The recordings folder is located in the Team Channel where the meeting took place under the Files tab (please see screenshot below). 

A link to the recording is posted in the channel conversation for participants and members of the Team to access the recording. Recordings automatically play from within Teams but you can also click to open the recording in your browser. This will then open a SharePoint video player window.  

Standard Meeting (All Other Meetings) Recordings

Standard Meeting recordings (all other meeting type recordings not including Channel meetings) are stored in the OneDrive of the person who recorded the meeting in a folder called Recordings (Please see the screenshot below). 

A link to the recording is posted in the meeting chat for meeting participants to use to access the recording. Recordings automatically play from within Teams but you can also click to open the recording in your browser. This will then open a OneDrive video player window. 

Who has access to my recording and what permissions do they have?

Teams Channel Meeting Recordings

Channel meeting recordings (meetings set up within a Teams Channel) are stored in the files tab of the associated Team Channel in a folder called Recordings. All recordings in this folder are accessible to members, guests and owners of the Team Channel where the meeting took place.

Team Owners can view, download, edit, and delete the recording.

Team Channel members can only view the recording. If a Team Channel member clicks record they can also download the recording but do not have any edit or delete rights.  

Standard Meeting (All Other Meetings) Recordings

Standard Meeting recordings (all other meeting type recordings not including Channel meetings) are stored in the OneDrive of the person who recorded the meeting in a folder called Recordings. The recording is accessible to all internal meeting participants including those who were invited but did not attend. External users will need to be explicitly added to the shared list by either the meeting organiser or the person who started the meeting recording. 

  • The person who clicked record can view, download, edit and delete the recording. 
  • The Meeting Organiser can also view, download, edit and delete the recording (even though the recording is saved in the OneDrive of the person who clicked record).
  • Those invited to the meeting can view the recording.

Member’s permissions are based on the Teams Channel SharePoint permissions.  

Team Owners are able to edit and delete recordings. Team Members and Guests have read only access.
