Changing your name


There are two different ways to change your name at the university, this guidance applies to both students and staff. 

Students

The University can update your name in one of two ways: 

1) IT can change your "known as" name

For example, if your name is in the system as Elizabeth, IT can edit the "known as" to Beth if this is your preferred name.

Changing your "known as" would update your name on Minerva and all Office365 services such as Teams and Outlook, but not on your student record. 

IT can only update your first name, not your surname, so to update your whole name please contact your school directly.

2) Your name can be officially changed on your student record

This will update your name on Minerva and all Office365 services but will also change your name on official documents, including your degree certificate.

If you wish to go ahead with the first option, please log a general request through it.leeds.ac.uk and the User Admin team can update the "known as".

If you wish for your name to be updated on Office365, Minerva AND your student record, please read the identity management information and complete the Identity Change Request form found here.

Once your student record has been updated, this information will be pulled through to IT systems within 48 hours from when the change has been made.

Staff

The University can update your name in one of two ways: 

1) IT can change your "known as" name

For example if your name is in the system as Robert, IT can edit the "known as" to Bob if this is your preferred name.

Changing your "known as" would update your name on Minerva and all Office365 services such as Teams and Outlook, but not on your staff record. 

IT can only update your first name, not your surname so to update your whole name please contact your department's HR team directly.

2) HR can change your name by updating your staff record

This would update your name on Minerva, all Office365 services and also on official documents. Once HR have updated your name this information will be pulled through to IT systems within 48 hours from when the change has been made. 

If you wish to go ahead with the first option please log a general request through it.leeds.ac.uk and the User Admin team can update the "known as". 

If you wish to update your full name/update your name on all official documents please contact your department's HR team to do this.
