This article is for Library staff working on Reading Lists, and describes the reports available in the Dashboard.

Access
To access the reports, open the Reading Lists Dashboard http://library.leeds.ac.uk/rlistsdash and follow the link "Reports: schools/modules/lists/items/reminders." Library Reading Lists staff will have access through their own desktop PCs, or through the Virtual Windows Desktop.
General
- Most reports provide a set of options to limit the report e.g. by academic session, and faculty or school etc.
- All reports have an option Open in Excel or Browser:
- Open in Excel will download a CSV file that can be opened in MS Excel
- Open in Browser will display a table of results in the browser

Detail on the reports
Schools
Faculty and school report
Numbers of reading lists for each school
For a given session code, this returns a list of schools, grouped by faculty, split up by semester, with totals for all semesters. There are counts of:
- Modules running
All modules for that school in the module catalogue data
- Modules with reading lists
Modules with at least one reading list published and visible to students
- Modules with updated reading lists
Modules with at least one reading list which has either been edited by the tutor any time during that session
- Modules notified having no list
Modules for which the tutor has informed the Library through Minerva that there is no reading list
Subtracting Modules with reading lists from Modules running gives the number of modules with no reading list
Further subtracting Modules notified having no list gives the number of modules with no list, but no notification to the Library
NB
- The Library flagging a list as "no changes" in the Dashboard counts as a tutor edit
- Reading Lists for merged modules are counted separately for each of their child modules
- Draft lists without a published version are not counted
- Removed lists are not counted
- Reading lists which are cloaked in the Dashboard are not counted
- Reading lists not associated with a module in the module catalogue are not counted
- School codes RESR and SABD are excluded
Modules
Module report
Numbers of reading lists for each module, with other module data
For a given session this returns a list of modules, with:
- Level e.g. UG
- Faculty e.g. EV
- School e.g. FOOD
- ModuleID e.g. 202021_35140_FOOD3391
- ModCode e.g. FOOD3391
- Semester e.g. 1, or F13
- Lists total reading lists for this module ID
- Last_VLE_Edit_by_Academic Date and time of last tutor edit for any list in this module - if empty, no reading list for this module has been edited by tutor this session
- No_List_Reported If 1, tutor has informed the Library through Minerva that there is no list for this module: if empty, tutor has not informed the Library there is no list; if 0, tutor previously informed the Library there is no list but a list was subsequently created
- Module_Manager from the module catalogue
- Module_Manager_Email from the module catalogue
- Valid_Email If YES, module manager email is in a valid email address format
- Enrolments This and the following two fields are three different measures of student numbers, from the module catalogue
- Estimated_Students
- Class_Limit
- Previous_Year_ModuleID The module ID of the module with the same code and CRN in the last session (if it exists)
- Enrolments_v_Previous_Year
- Estimated_Students_v_Previous_Year
- Class_Limit_v_Previous_Year
NB

- Valid_Email does not check whether the email address actually exists, nor whether it is the correct one
- Positive values for Enrolments_v_Previous_Year etc indicate more students this year
Lists
Weekly activity
Weekly counts of incoming reading lists, and of edits and completed lists by the Library
For a given session, this returns from the start of the session until now, weekly totals of reading lists received from tutors, edited by the Library, and completed by the Library, and the average number of days it takes for the Library to complete work on a new list received.
There are also figures for the corresponding week last session, and totals so far for this session (and for the last session up to the corresponding point in the session):
NB
- Where a tutor makes multiple edits and the Library does not complete work, this counts once in received alongside the week of the first edit
- Where a tutor makes a new edit on a list they previously edited, and that the Library completed, this counts again in received alongside the week of the new edit
- Completed counts the number of times the Library signs off a list - signing off the same list twice will count twice
- Average days to complete is calculated as follows:
- For each Library sign-off in the current week, take the number of days since the initial edit by the tutor
- If the Library signs a list off twice without an intermediate edit by the tutor, only the first signoff is counted towards this average
- If the tutor edits a list twice before sign-off by the Library, the days to complete is relative to the first edit by the tutor
- Take the mean of all these figures
- Round this up to a whole number of days
- A week starts on Monday
- A session starts on 1st July
- For the current week, the totals will not yet be complete
- The first week may start before 1st July, but the totals only show activity from 1st July
- The corresponding point in last session is reckoned as 365 days ago, regardless of leap years
- To see weekly totals for the whole of the previous session, run the report for that session rather than this
- Due to discrepancies in the way data is counted, it is not reliable to subtract total completed from total received to get a figure for "pending"
- These figures have more value indicatively and comparatively (week-to-week or year-on-year) than they do in absolute terms
Content summaries
Details on each reading list
For a given session, this returns a list of all reading lists along with data about the list and its contents:
- Level e.g. UG
- Faculty e.g. MH
- School e.g. DENT
- ModuleID e.g. 202021_34978_DSUR1146
- ModCode e.g. DSUR1146
- Semester e.g. 3, or B13
- Minerva_ListID e.g. _7213131_1
- Last_VLE_Edit Date and time of last tutor edit for any list in this module - if empty, no reading list for this module has been edited by tutor this session
- Headings Number of h2 tags in the list
- Subheadings Number of h3 tags in the list
- Paragraphs Number of paragraph tags, list items or table rows in the list
- Links Number of links in the list
- Student_To_Purchase Number of paragraphs marked "student to purchase" by tutor
- Core Number of paragraphs marked "core" by tutor
- OCR Number of paragraphs with OCR request by tutor
NB

Not showing to students
Details on each reading list which is not showing to students - either because it has never been published, or because it has been cloaked
This is a similar report to Content summaries (above) except that it only shows reading lists which either:
- Have never been published; or;
- Have been cloaked by the Library in the Dashboard
Items
LMS record IDs linked from lists
Individual records in Alma that are linked to from reading lists
List of Alma record IDs which are linked to from reading lists - optionally limited by importance of paragraph containing link, and how near the top of the reading list it is. Two options: Permanent only shows records linked from Primo Permalinks, and Search only shows records linked from Primo searches.
Sorted by the total number of occurrences (most first), and showing:
- Record e.g. 991019580046005181 or cross10_1108_qmr_2000_3_4_215_2
- List_Count Number of reading lists resource is linked from
- ModuleID_Count Number of modules whose reading lists resource is linked from
- Minerva_ListIDs List of reading list identifiers that link to resource
- Multiple_References Number of times resource is linked to in total
NB
- Merged modules show only as the parent module
- For each record:
- Multiple_References may be greater than List_Count because some resources are referenced several times in a list
- List_Count may be greater than Module_ID_Count because some resources occur on several reading lists for one module
Occurrences of specific resources in lists or modules
Reading lists or modules that link to a particular resource or resources
There are two options for this report. In both cases, an Alma record number, or an ISBS/ISSN, or a comma-separated list of record numbers/ISNs must be supplied, and (optionally) high near the top of the reading lists to look.
Lists containing resource
Details of each reading list linking to the resource or resources:
- Minerva_ModuleID the module ID as used in Minerva, i.e. for merged modules the parent ID
- Minerva_ListID e.g. _7213131_1
- Records the record numbers from the supplied list that match the supplied resource(s)
- ISBNs the ISBNs/ISSNs from the supplied list that match the supplied resource(s)
- Position_in_List of the first link to the resource(s) - if the first link in list, 1, if the second link, 2 etc
- Multiple_References how many times the resource(s) are linked to from this list
- Importance any Importance tag for the link to the resource
- OCR whether tutor requested OCR for the link to the resource
Running modules containing resource
Details of each module with a reading list linking to the resource or resources:
- Session these first fields are taken from the module catalogue
- Level
- Faculty
- School
- Semester
- ModuleID as used in the module catalogue, i.e. for merged modules, each child ID
- ModCode
- Enrolments
- Estimated_Students
- Class_Limit
- Minerva_ListIDs e.g. _7213131_1 - may be more than one, separated by commas, if module has more than one list linking to the resource(s)
- Multiple_References Number of times in total the resource(s) are linked to from any reading list in this module
- Importance These last fields are as used in the Lists report

- The Running modules report only includes modules which are "running" (according to the module catalogue)
- The Lists report includes all reading lists, whether the module is "running" or not
- In the Importance column, Student to purchase trumps Core if both are present for the same resource in the same list
- The Lists report reports Minerva module IDs, and the Running modules report reports module catalogue Module IDs - i.e.,
Links tagged with importance
All links in all reading lists that have been tagged Core or Student to purchase
Details of every link (not just catalogue links) which has been given an Importance tag by the tutor:
- Year these first fields are taken from the module catalogue
