Exporting/Backing up your Contacts from Outlook


When you graduate, or leave the University, you may want to take a copy of your Contacts before you go and your account is closed.  This is a relatively simple process, and length of time to complete will be dependent on how many contacts you are exporting. 

It is not feasible to back up contacts from the Outlook Web App (Office 365).  It is recommend that you configure your email account on the Outlook client, and then export them.

In Outlook go to the Files tab and select Open & Export.  Then click on Import/Export.

 

In the Import and Export Wizard select Export to a File and click on Next.

 

Select Comma Separated Values and click on Next.

 

Select the Contact folder that you wish to export from (or select individual folders as required), and click Next

 

Give the .CSV file a name (i.e. Contacts2020) and browse to where you wish to save the file.  Ensure that you make a note of the location so that you can access the file more quickly.  Click Next.

 

Before exporting you have the option of mapping custom fields.  Click on Map Custom Fields.  Here you can select or remove values so that you can limit or increase the details you require.  Once you are done click OK.

 

You are taken back to the Export to a File window.  Once you are happy that you have the details you require click on Finish.  Please be aware that once you do this the export cannot be cancelled.

 

The .csv file is now available from the location to which you saved it for you to copy to your own device for importing into your personal or new account. 

Information on importing .csv files into different email providers varies, depending on how it has been set up, but can be found by searching on Google.  However, if you are using Outlook as the application to view your mailbox, the information on importing a .csv file is the same as the above except you use the Import option.
