Please ensure that:

• You let responders know why you are collecting the data, how you will store it, who will have access to it, how long it will be kept and what their rights are as a data subject.
• This information should be contained within a Privacy Notice which should be linked on front page. General staff and student privacy notices can be found at dataprotection.leeds.ac.uk/quick-link-to-resources/, however if you are doing any additional processing that falls outside of the general notices (for example, sharing information with a third party), you should add this to the front page.
• If you are conducting research, please link to your information sheet and the Research Participant Privacy Notice. Please note you must have obtained ethical approval to collect personal data as part of your research project.
• The data is kept secure and is accessible on a need-to-know basis.
• Once the survey is completed and the data is no longer required, please delete the survey in line with what has been set out in the Privacy Policy information.
• Please ensure you read the Consent Reference Guidance to ensure you are collecting an individual’s consent when required.

If you leave the University:

• If the data is no longer required = Delete the surveys you own from Online Surveys
• If the data is still required = Transfer it to the relevant member of your team.
