What is Scheduled Lecture Capture (and Room Types)

Scheduled Lecture Capture allows you to automatically record your sessions without any interaction. All Lecture Capture enabled rooms have a category (Bronze, Silver, Silver Plus. Gold or Platinum) depending on the equipment in the room; for example, Bronze rooms do not have video cameras but all other room types do.

How does it work?

If you have opted into scheduled Lecture Capture via the timetable, recordings will automatically start two minutes after your timetabled event begins. It will stop recording two minutes prior to the scheduled end time. Once you have finished, your recording will be uploaded to the system and within 8 hours you will receive an email notification saying your recording is available:

Example email from Lecture Capture system informing a recording to ready to view

Your recording will automatically link to the module defined from the timetable data (please note: merged modules do not link automatically) and will be in a private state, this means only you can play back the content. It is advisable to make any edits at this point; for example, removing any students who do not wish to be recorded. Please note all scheduled recordings will automatically publish to Minerva 72 hours from the recording being processed. If you do not want your recording to auto-publish, you will need to remove the action for each recording using the Edit Details menu in Mediasite.

What will be recorded in the room?

Important: If you have any problems or further questions about room capabilities, please contact the Estates Helpdesk on 0113 343 5555 or eshelp@leeds.ac.uk

All rooms with Lecture Capture recording facilities are classified by a category depending on the equipment in the room. This category can be checked via the Timetable and Web Room Booking website.

Bronze
These rooms only record voice, audio and the projected image from the PC.

Silver
These rooms can record video (of the lectern and whiteboard area) as well as voice, audio and the projected image. The camera image is a fixed-forward facing wide angle view and does not move.

Silver Plus
These rooms can record video (of the lectern and whiteboard area) as well as voice, audio and the projected image. The camera image is a fixed-forward facing wide angle view and does not move. However, there is the addition of a closer view when floor pressure mats are triggered at lectern/whiteboard position.

Gold
These rooms can record video (of the lectern and whiteboard area) as well as voice, audio and the projected image. The camera image is a forward facing wide angle view and includes a tracking camera. However, there is the addition of a closer view when floor pressure mats are triggered at lectern/whiteboard position.

Platinum
This standard is applicable to collaborative lecture theatres only. The room has several inputs and includes audio, video camera, a digital whiteboard and projected image from the PC.

How to opt-in/out of scheduled recording

You will need to contact your local timetabling team. if you want to make changes to timetabled recordings. Each recording will be assigned a Factor in the timetable:

Factor 1 - All content will be recorded (including video if the room has a camera).

Factor 2 - Only audio and what is displayed on the computer screen will be recorded.

Factor 3 - Opt out. The session will not be recorded.

Important Note: The correct member of staff should be associated to the session they are presenting, so the recording is assigned to the correct author. It is recommend that you make changes with at least 2 hours notice to ensure all systems update with the new information; for example, if a location is changed or a new member of staff is assigned to the module. This is the responsibility of the School Timetabler.
